James Malinchak and Joe Martin's E-mail Etiquette

by Liam Martin

E-mail has become a networkers dream come true. Almost instantaneously, you could write or respond to almost anyone with the click of a mouse. In practically seconds, you can say hello, send out a photo, download a file, and provide feedback to an individual halfway around the world. So, what can be wrong with using E-mail to network? Lots! As you think about using this marvelous tool to build your base of contacts, please keep the following in mind that e-mail is often considered an informal method of communication. If you would like to thank someone for something they've done for you, 99% of time, it's always better to send a hand-written thank you note or to thank that person directly. E-mail ought to be used informally to remain in touch with contacts. Use it as a supplement in your networking strategy, not exclusively.

Making use of E-mail may be second nature to you, but it could be a freak of nature to selected contacts. Some professionals might not be as comfortable with E-mail as you. In fact, they may not even have an E-mail account. Those who do have email may not check their E-mail account often. Be sensitive by asking your contacts how they want to be contacted. Then, respecting their wishes make use of their preferred communication format to stay in touch. E-mail with the watchful eye of an elementary school teacher. Don't fall into the trap of automatically forwarding funny or controversial E-mail messages to all of your contacts. What's tasteful to one contact might be distasteful to another. Know the personal boundaries of your contacts. When it comes to forwarding questionable material, remember the journalist motto: "When in doubt, leave it out."

E-mail individuals, not groups. Personalize your E-mail by not including your contact's name with a group of other contacts on your E-mail list of addresses. Sadly, it's becoming much too commonplace to receive E-mail from people with 20 or more E-mail addresses attached. There are 2 problems with this:

1. Your contacts is going to question your sincerity if they see the same message going to everybody.

2. You could be invading your contact's privacy, meaning whoever receives the e-mail you sent with the 20 e-mail addresses attached can forward anything and we do mean anything to the same list of names. Use common sense.

Staying in touch with your contacts requires both commitment and consistency. Is it possible to stay in touch too much with a contact? We would have to respond with a resounding yes. As with anything else in life, too much of a good thing can be bad for you. The key is moderation. Networking is somewhat of an art form. One has to exercise finesse as well as utilize a strategy in order to build a successful network of contacts. Your strategy may be to keep your name in front of your contacts consistently, but if you do it too much, you can cross the line of annoying them. There's a fine line between being a server versus being annoying. Be very careful.

As a rule of thumb, we recommend that you keep in touch with a contact at least once per year at the bare minimum and that can be around the holidays and no more than 12 times a year unless they've become a close personal contact of yours. Therefore, in addition to monitoring what you E-mail to new contacts, you also need to monitor your frequency of contact. Always be respectful of their time.
